Six people contribute to each journey — research, design, logistics, documentation, finance, and field operations — coordinated by a lead project manager who directs the effort and remains your single point of contact from first conversation to final reconciliation.

Rates, fees,
and how they work.

Pangaea's planning and management fees are built from three components: an engagement fee that confirms a project, a day rate for the team's time, and a handling percentage on third-party bookings where no supplier commission is available. Each is set out below, followed by the standard rate schedule.

The Engagement Fee — How It Works

A $10,000 Engagement Fee is charged per project, paid on acceptance of the concept or a directive from the client to begin planning; this confirms the project. It activates full design — the detailed brief, research, supplier negotiation, and a fully costed itinerary. The fee is fully creditable toward planning and project management time on the same project; it is not an additional charge, but the first tranche of it.

Open Book Policy

All third-party supplier invoices shared on request. No margin on cost items — what we pay, you see.

Live Project Tracking

A live project document, updated weekly throughout active planning, gives you and any designated representatives real-time visibility of budget and status.

Expenses — Cost + 0%

All Pangaea team travel, accommodation, and operational expenses billed at cost, with no mark-up. Documentation provided on request.

Final Reconciliation

A full statement of all costs against deposits, issued within 14 days of trip closure — clean, complete, and ready for downstream reporting.

Deposits & Payment

The engagement fee is paid on concept acceptance or client directive to move ahead with project planning. A deposit against third-party costs is paid on design approval, allowing bookings to be secured; the balance is settled on the final pre-departure invoice.

Supplier Commission

Where a supplier pays commission, Pangaea retains it in place of the handling fee — never in addition to it. You are told which applies to each booking.

24/7 Field Support

Shoreside support and emergency overwatch are included in all daily field rates. A Pangaea contact is reachable around the clock during every active trip.

Insurance

Pangaea maintains professional liability insurance. For remote expeditions, Global Rescue medical and security membership is advised for all travellers.

Understanding the ambition and shaping a first direction. Where you already know where you want to go and have asked us to proceed, this phase is skipped and planning begins directly.

Expedition
hosting.

Hosting is optional and layered on top of planning. Where a journey is hosted, a Pangaea lead is present in the field for its duration — managing every moving part, liaising with guides, crew, and properties, and holding responsibility for safety and contingency. The rates below apply to field days only; the team's travel and living costs are passed through at cost.

Via Pangaea's network at net cost plus handling. Produced by Pangaea directly, billed at the advisory day rate.

Optional: a standing arrangement
for those who travel often.

For clients who travel with us several times a year, the project-by-project model can be replaced by an annual retainer. Rather than initiating each journey separately, Pangaea operates as a standing part of your world — holding your calendar, scouting ahead of it, and moving the moment you do.

Retainers are structured individually around the anticipated volume and character of a year's travel, and agreed in a separate programme proposal.
